- Contact and inquiry information — name, email address, phone number, company name, and any details you include when contacting us through our website contact form, email, or booking a discovery call.
- Client engagement information — financial records, payroll data, bank statements, tax documents, invoices, contracts, and other business records you share with us in the course of an accounting engagement.
- Communications — emails, messages, and documents exchanged with our team.
Information Collected Automatically
- Website analytics — we use Google Analytics to collect anonymous usage data including pages visited, time on site, device type, and general geographic location. This data is aggregated and does not identify you personally.
- Cookies — our website uses cookies to support website functionality and analytics. You can disable cookies in your browser settings, though some features may not function correctly.
3 How We Use Your Information
We use personal information only for the purposes for which it was collected:
- To respond to inquiries and provide the accounting and consulting services you have engaged us for
- To prepare financial statements, tax filings, payroll, job costing reports, and other deliverables as part of your engagement
- To communicate with you about your engagement, deadlines, and relevant financial matters
- To improve our website and understand how visitors interact with our tools (via aggregated analytics data)
- To comply with legal and professional obligations including CRA requirements and professional accounting standards
We do not sell, rent, or trade your personal information to third parties. We do not use your information for marketing purposes without your consent.
4 Software Platforms We Use
In delivering our services, we use the following cloud-based platforms that may process client data. Each platform operates under its own privacy and security standards:
Not all platforms are used for every client engagement. The specific tools used in your engagement will be confirmed during onboarding.
We select platforms that maintain industry-standard security practices. Where possible, we use Canadian or SOC 2-certified data centres. We will inform you if we add a new platform that materially affects how your data is handled.
5 How We Share Your Information
We share personal information only in the following limited circumstances:
- With your authorization — for example, submitting tax filings to CRA, communicating with your banker or surety broker, or sharing financial reports with your external accountant.
- With service providers — the software platforms listed above process data on our behalf under contractual data protection agreements.
- When required by law — we will disclose information where required by applicable law, court order, or regulatory authority.
- Professional obligations — as accounting professionals we are subject to professional standards that may require disclosure in specific circumstances.
We do not share client financial data with any other third party without your express written consent.
6 How Long We Keep Your Information
We retain client records for a minimum of 7 years following the end of an engagement, in accordance with CRA requirements and professional accounting standards. Some records may be retained longer where required by law or professional obligation.
Website analytics data is retained in accordance with Google Analytics' standard retention settings (26 months by default).
When records are no longer required, we dispose of them securely — physical documents are shredded and electronic records are permanently deleted.
7 Your Rights Under PIPA (Alberta)
Under Alberta's Personal Information Protection Act, you have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request that inaccurate or incomplete information be corrected
- Withdrawal of consent — withdraw consent for the collection or use of your information, subject to legal and contractual limitations
- Complaint — file a complaint with the Office of the Information and Privacy Commissioner of Alberta if you believe your privacy rights have been violated

8 Document Sharing & Client Portal
Clients share documents with Marawood via email and our secure client portal. We recommend using the secure portal for sensitive financial documents wherever possible. Email transmission of financial records carries inherent security risks that we cannot fully control once a document leaves your email provider.
Our client portal uses encryption in transit (TLS) and at rest. Access is protected by password authentication.
9 Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will post the updated policy on this page with a revised date. For material changes affecting active clients, we will notify you directly by email.
